Receptionist / Operations
Division: Service Department
Location: 17 Waikato Street, Taupō
Hours:
• Monday – Friday: 8:00am – 5:00pm
About the Role
The Receptionist / Operations role is responsible for front-of-house reception duties, administrative support, and assisting with daily operational tasks.
This position is key to creating a welcoming, professional, and customer-focused environment that reflects the values and culture of Morrell Motors. You will play an integral role in ensuring the smooth running of the business while delivering exceptional customer service and operational efficiency.
Key Responsibilities
Customer Service & Reception
- Welcome customers upon arrival to the Showroom
- Answer incoming phone calls and direct to appropriate Team members
- Check in inbound customers and guide them accordingly
- Host customers (tea, coffee, heating, etc.) to ensure comfort during their visit
- Check voicemail messages daily and take appropriate action
- Maintain grocery stock in liaison with relevant Team members
- Ensure the front counter is always attended and adequately covered
Administration & Payments
- Process customer payments as per invoices and complete daily banking reconciliations
- Confirm next-day customer appointments (phone first, SMS if required)
- Create key tags for incoming jobs (day prior)
- Manage efficient customer drop-offs and develop roster systems with the Team
Service & Operations Support
- Contact customers to make bookings as parts become available (as directed by Service Team)
- Manage courtesy car bookings via the AutoPlay platform, including check-
in/out, WOF, fuel, registration, and valet coordination - Coordinate valet schedules with Service Advisors and valet Team members
- Monitor customer car park availability and liaise with the Service Team/Team Leader to ensure inbound customer spaces are available
Health, Safety & Compliance
- Maintain visitor and building maintenance logbooks
- Check in contractors and ensure Health & Safety compliance
- Maintain accurate Health & Safety records and implement improvements
- Ensure adherence to Health & Safety policies and procedures
- Monitor and maintain PPE and first aid stock
- Monitor the Blip App daily to confirm staff sign-in compliance
HR & Rostering - Update BrightHR and calendars with staff absences
- Approve leave requests (in consultation with General Manager/Department Managers)
- Create quarterly Saturday rosters via BrightHR, liaising with Team members
Team & Culture
- Coordinate Morrell Motors social club activities and functions
- Assist Sales Team with events and vehicle launches (including occasional
after-hours support) - Promote a positive, respectful, and supportive Team culture
- Be courteous and professional to all customers and staff
General
- Maintain a clean and safe workplace
- Perform other duties as requested by Management
